When handling document review and production in GoldFynch, you may want to segregate materials that have been sent to a client from those still under review. This article provides guidance on how to achieve that efficiently within GoldFynch without permanently deleting the documents.

Producing and sharing the segregated set

To separate the materials you want to send to your client, you should 1) produce the set of documents and 2) share them accordingly. During production, you have the option to endorse these documents with or without a Bates numbering scheme. If these documents are intended for client review, we recommend using a "REV" Bates prefix to easily identify them as part of the client review set.

To create a production set in GoldFynch

  1. Ensure that the documents are grouped within a tag or saved search. Click here for instructions to create tags. Click here for instructions to set up saved searches

  2. Follow the instructions in these support articles:

By using this approach, the production set can be easily identified and excluded from further review within your case.

Note that running multiple productions in a case does NOT incur additional charges.  GoldFynch does not charge for derived files like productions so it will not affect your overall case plan fees.

Excluding the produced set from further searches

If your goal is to keep these documents within your case but separate them from the remaining materials under review, you can exclude the produced set from searches. GoldFynch allows you to:

  • Search using tags

  • Invert search filters to exclude the production set

This way, as you continue sorting through documents, the ones already sent to the client are set aside and not re-reviewed. This helps maintain efficiency while keeping the documents available for inclusion in the final production.

For detailed steps, refer to our article on searching by tags and inverting search tags.

Keeping the produced set for final production

Instead of permanently deleting the documents, you can keep them tagged and separate to be included in your final production. This method allows you to:

  • Avoid reviewing the same emails multiple times

  • Ensure that client-reviewed documents are easily accessible for the final production

  • Maintain organization without the risk of data loss
