Searching by tags

If you want to search for all files with a specific tag in your case, there are many ways to go about doing so:

  1. Select the tag from the 'Tags' view
  2. Perform the search from the GoldFynch search bar
  3. Search using the 'Advanced Search' view

Method 1. Searching by tags from the 'Tags' view

Step 1. Go to the 'Tags' view by clicking on the icon in the left navigation panel

Step 2. Click on a tag or a Quick tag

From the 'tags' view, click on a tag name to see all the files it's assigned to

GoldFynch will immediately run a search for all files in your case with that tag and will display them as results in the 'Search' view

  • Click on the file's name to open it in the Document Viewer
  • Add or remove tags using the buttons located below the file's name
  • You can further filter, as well as sort results using the options available in the right panel. Learn how you sort and filter your search results here.

NOTE: In step 1 be sure to add quotation marks around the tag's name if it contains any spaces!

Method 3. Searching by tags using the 'Advanced Search' view

Step 1. Go to the 'Advanced Search' view by clicking on the icon in the left panel

Navigate to the Advanced Search view

Step 2. Click on the 'Create New Search' button

Step 3. Click anywhere in the condition box to enter the search criteria. Alternatively, click on the edit icon (the pencil) that appears when you hover over the condition box

Click anywhere in the condition box to edit

Step 4. Change the 'body' field to 'tags' and from the drop-down menu of your case's tags that appears to the right, choose the tag that you wish to search for

Step 5. Click on the Execute Search button

Select the tag parameter and a tag from the drop-down list and then execute the search

Searching using the 'Inverted' tag feature

Perform an 'inverted' tag search if you want to look for all files in your case that do not have a particular tag. For example, you might want to look for all files except for ones marked "Confidential."

To perform an inverted tag search, you will need to slightly modify either Method 2 or Method 3 from above (i.e. either using the Search Bar or the Advanced Search view)

Performing an 'inverted' search from the search bar (modifying Method 2.)

Follow the same steps to search using the search bar as Method 2 above, but while typing out the search term, add the word "not" before your query:

not tags = "<tag name>"

So your query will look like this:

add the word NOT before your query to perform an inverted tag search from the search bar

...again, where <tag name> is the name of the tag you are searching for.

Performing an 'inverted' search from the Advanced Search view (modifying Method 3.)

Follow steps 1 - 4 in Method 3 above, for searching from the Advanced Search view, then drag and drop the "NOT" operator around the condition. Finally, execute the search.

Drag and drop the NOT logical operator over the tag condition

Note: Choosing the IS-NOT operator instead of the IS operator will also give you the same result as using an inverted search

Either method will get you all files in your case excluding ones that have the tag you selected.
