By default, GoldFynch treats all files separately, even in the case of a parent file that contains other files, e.g. an email that contains attachments. 


When you add tags to files, you can either apply them to a single file (e.g. just the attachment), or to the entire file family (so when you tag an attachment, it'll also tag the parent email and the other attachments of the email.)


The option to tag only the single file is helpful when you want to select, say, only the attachments of an email to include in your export or production without the parent email. 


Applying a tag to an individual file


If the tag you are applying has the "Just the item" tagging behavior as detailed later in this article, then: 


1. Select or navigate to the file in whichever view you are viewing it in (e.g. "Files" view, "Docs" view, "Search" view, etc.) 

2. Click on the "+Tag" button (find info on where the button appears in specific views here)
3. Choose the tag to apply it to just the selected file


Alternatively, if the tag has the "Prompt" behavior (also described later in the article)


1. Select the file from whichever view you are using (e.g. "Files" view, "Docs" view, "Search" view, etc.) 

2. Click on the "+Tag" button  (find info on where the button appears in specific views here)

3. Choose the tag to apply it

4. You will be prompted to select a mode. Choose the "Apply to item only" option and click on "Apply" 


When applying a "prompt" tag select the "Apply to items only" radio option then click on apply




Identifying tagging behavior by a tag's appearance


Tags that apply only to the file, or that prompt you to select how you want to apply them to the file, will appear as fully-colored boxes with white text. A tag with the box filled in with color and white text

If the tag is a hollow box with only a colored outline and colored text, it means that it will apply to the entire file family and you cannot use such a tag for the kind of tagging this article aims at. You'll need to edit the tag's settings, use a different tag, or create a new tag as described below.

Creating a tag and setting its tagging behavior


if you need to create a tag in order to tag individual files, here's how to do so:


Step 1. Navigate to the "Tags" button in the left pane to access the tags view, and then click on the "+New Tag" button in the upper right corner of the screen.

Step 2. When creating the new tag, either choose "Prompt" or "Just the item"

  • The "Prompt" option will alert you each time you attempt to apply a tag, asking you how you would like GoldFynch to apply the tag (to the file alone, or to the file along with its family)
  • The "Just the item" option will configure the tag's behavior to automatically apply the tag only to the individual file (i.e. just that family member) - this option is preferable if you are going to use this tag exclusively for tagging individual files.


Select "Prompt" or "Just the item" from the option when creating a new tag


Step 3: Click on Create
