GoldFynch lets you set up "macros" - shortcuts to help you and your collaborators quickly assign and unassign tags to documents as you view them in the Document Viewer.

Using a macro is simple: when you are viewing a file in the Document Viewer, first, hit the "trigger" command .. (two periods pressed in quick succession.) You will see a list of already-assigned macros. Just press one of the keys assigned as a shortcut (as seen in the image below: "C," "D," and "Z") and its action will be carried out. This is explained in detail further down in this article.


Note: Review macros can only be created by users who have Admin/Owner privileges. A review macro can be used by anyone a case is shared with.

Creating macros

Step 1. Go to the "Review Macros" tab of the "Settings" view (see the image below)

Step 2. Click on the "+ Create new macro" button.

Step 3. Click on the edit (pencil) icon and enter a letter from A-Z (in the image below, Q is assigned as the key)

Step 4. Select "Add Tag" or "Remove Tag" from the dropdown list depending on the action you wish to have performed when this macro is run. 

Step 5. Choose a tag.

Step 5. Click on the "Save" button.

Optional commands

  • To add another Add/Remove Tag action to which another tag can be assigned, click on the +Add Action button
  • Check the respective checkbox to automatically move the reviewer to the next document once the macro is run
  • Leave a note about what a macro is for by typing text into the description text box - this will help explain to reviewers what the macro was intended to be used for
  • To disable a macro (without deleting it) so that it isn't provided as an option to reviewers, uncheck the checkbox against the appropriate macro while on the "Review Macros" tab of the "Settings" view

EXAMPLE: In the image above, when a user hits the trigger .. and then the "Q" key, this macro is run and: 

  • the "irrelevant" tag will be added to the document being viewed
  • the user will automatically be moved to the next document in the Document Viewer

Adding note-collecting tags with macros

If a tag to be added has been set to collect tag application notes, you will need to choose the behavior that is followed when the macro is run.

If the tag is set to collect notes you can set it to:

  • Completely skip applying a note
  • Prompt users for a note
  • Prompt users for a note but have the text box filled with a pre-written message (so you don't have to repeatedly enter text each time you run the macro, while still having the option of editing the text)
  • Automatically assign a note with no prompt 

If the tag is set to require a note you will not be given the option to completely skip applying the note.

NOTE: In the case of a privilege tag the behavior will be automatically assigned as per the settings of the tag in the "Tags" view

Using macros

To use a macro when you are viewing a document in the Document Viewer:

1. hit the "trigger" command .. (two periods pressed in quick succession.) 

2. Hit the key that a macro is set to. In the image below, "C," "D," and "Z" trigger three different macros. This will immediately perform the tagging actions. Furthermore:

  • If the macro applies tags that collect notes the keyboard icon is displayed against it:
  • If the macro is set to automatically move to the next document after being run it will do so. You can spot this behavior by the arrow displayed against it
