This article explains how you can add 'document notes' and make annotations to a file from the Document Viewer. Both document notes and annotations are different from tag application notes and are very useful in making notes during review or leaving notes for collaborators.
Note: Document notes, comments, and annotations can be added and maintained by users from the 'Reviewer permission level' upwards
Adding Document Notes and Comments
Adding a Document Note
Here's how you can add notes to your files from the document viewer:
Step 1: Open the file in the Document Viewer
Step 2: Enter a note in the text box under the 'Document Notes' section in the right panel
Step 3: Click on the Save button under the text box
Adding Comments to Document Notes
You can add comments to the document notes that have been added to a file. Here's how:
Step 1: Open the file in the Document Viewer
Step 2: Click on the ... button against the note or the Comment button below the note in the Document notes section of the right panel
Step 3: Enter a comment in the text box that is displayed
Step 4: Click on the Save button under the text box
Maintaining Document Notes and Comments
- Editing Document notes and comments: Click on the edit icon (the pencil) against a document note or comment to edit it.
- Deleting Document notes and comments: Click on the trashcan button against a document note or comment to delete it. Please note that when you delete a document note all the comments attached to it will also be deleted.
Note:
- The time, date, and users who add/edit notes and comments are displayed above the note/comment in the right panel
- Document notes are included under the "Document Notes" column of reports generated from the 'Reports' view if the report is configured to include document notes
- Comments on document notes are not included in reports generated from the 'Reports' view.
Adding Annotations and Annotation Notes
Goldfynch lets you mark sections of text from your file and then add annotation notes to it. This feature allows you to highlight information and quickly navigate to it.
Adding Annotations
Here's how you can add annotations:
Step 1: Open the file in the Document Viewer
Step 2: Click and drag the mouse over the text that you wish to highlight
Step 3: Click on the highlighter icon
Step 4: (Optional) Enter a comment
Step 5: Click on the Save button in the comment overlay screen
Once the annotation has been saved the highlighted text and its page number will be listed in the right panel under the Document Annotations section. To quickly navigate to the annotated text you just need to click on the highlighted text in this section.
Adding Annotation Notes
Adding notes to a document annotation is similar to adding comments to document notes.
Step 1. Click on either the ... button against the annotation or the comment button under it
Step 2. Enter the comment in the text box.
Step 3. Click on the save button to save the comment.
Deleting Annotations and Annotation Notes
- Annotations and annotation notes can be deleted by clicking on the trashcan symbol against it. Please take note that if you delete the annotation all comments associated with it will also be deleted.
Note:
Annotation notes are included in the "Annotation Notes" column of reports generated from the 'Reports' view if the report has been configured to include annotation notes.
Comments on annotation notes are not included in reports generated from the 'Reports' view.
If the 'Always ask for initial comment prompt' is unchecked then the moment the highlighter is clicked the annotation will be saved
Updating the Annotation Initial Comment Setting
Goldfynch by default prompts you to enter an initial comment when creating an annotation. This can be turned off by unchecking the 'Always ask for initial comment prompt' checkbox in the Initial Comment screen overlay
The other way to do this is to update the initial comment settings from the App Settings screen
Step 1. Click on the App Settings menu button in the top right corner of your Goldfynch page
Step 2. Click on the Notes and Annotations tab
Step 3. Check or uncheck the 'Always ask for initial comment when adding a document annotation' checkbox
