GoldFynch allows you to easily attach labels called 'tags' to your documents that help you categorize and quickly find files.


When tagging files in GoldFynch you can choose to either tag an individual file, or tag the file along with its entire family. A file 'family' is a group of associated files, like how an email (a 'parent' file) would be associated with its attachments--its 'children'. So if you tag an email and its family as 'confidential,' its attachments would get tagged as well. GoldFynch also lets you set each tag's default behavior for tagging file families. Find out more about this in the tags documentation.


Adding Tags to Files and File Families

Step 1. Navigate to the 'Files' view by clicking on the button in the left pane

Step 2. Check the checkbox next to the name of the file(s) you would like to tag

Step 3. Click on the 'Tag' button in the right action pane that appears 


Select files to tag


Step 4. Assign tags from the 'Apply tag' screen. These may be from the 'Quick Tags,' 'Recently used,' or 'Most used' tag lists. Alternatively, you can type into the search bar to pull up a list of any tags that match the entered text, then click on one of the tag search results to assign it. If you would like to create a new tag, type out what you would like to name it in the search bar, then click on the tag with 'NEW' next to it in the tag list


Step 5. Clicking on a tag will prompt you to choose how the tags should be applied. (NOTE: If 'Apply multiple tags' is enabled, you will need to click on the 'Apply' button after selecting the tags you want to apply) On the new screen that appears, choose from one of the two options:

  • Option 1: Apply to item only
  • Option 2: Apply to entire family of each item
    Choose how to apply tags to file families and click on Apply

    Things to note:

  • If the above screen does not appear, it means that the default behavior for all selected tags has already been set to either option 1 or option 2. To work around this, you can change the default behavior from the 'Tags' view then repeat this process. Learn how to do so in the tags documentation
  • Checking the 'Remember' box will make the selected option the default behavior for the tag across GoldFynch, and the tag will be applied without raising this prompt again
  • Leaving the 'Remember' box unchecked will leave the tag with its default behavior - to raise a prompt again the next time you apply it to a file

Step 6. Click on the 'Apply' button to apply the tags to the selected files (and their families where relevant), and close the 'Apply tag' screen


NOTE: Changes to tag behavior is prospective: they will not affect the families of files that are already tagged and will only apply to files that are tagged after the behavior change is saved


TIP: Tags that will raise a prompt when encountering a file that is part of a family, or that will apply only to the individual file appear filled-out boxes with white text:

If you have selected some tags on the 'Apply Tag' screen while the 'Apply multiple tags'  is enabled, and you decide that you do not want to assign the tags, you can remove them from the shortlisted tags by clicking on the 'X' mark found on regular tags, or clicking on the tag itself in the case of quick tags:

Changing tag spreading behavior

If you have clicked on the 'Remember' button against either 'Apply only to item' or 'Apply to entire family of each item' while applying tags to a file, the behavior is remembered and automatically followed without prompting the next time that tag gets applied. To change this behavior:


Step 1. Navigate to the 'Tags' view by clicking on the button in the left pane


Step 2. Click on the '...' symbol against the tag whose behavior you want to change


Step 3. Select an option out of the three possible behaviors that can be assigned:

  • Always prompt (the default behavior for new tags)
  • Tag just the item
  • Tag the whole family 

Step 4. Click on the ‘Save’ button


NOTE: Changes to tag behavior is prospective: they will not affect the families of files that are already tagged and will only apply to files that are tagged after the behavior change is saved
